MPF Adaptor
is a flexible in system design and have two faces which is integrable
with your existing Payroll System by file import and export or work as
a standalone Payroll and MPF management system. It is suitable to all
organizations with their own types of payroll items.

Functions
- An
Adaptor for existing system to manage payroll and MPF.It
works with all existing HR and payroll system, no matter it is running
in Mainframe;
Mini-computer; MS Excel; Access; or even DOS,
and make it compliant to the MPF Ordinance
in the least effort and cost. The only requirement is, your exitsing
can export payroll result or payroll item transactions in the format
of MS Excel or ASCII Text.
- It
works as a flexible standalone Payroll & MPF system. The
flexible design of eHR2000 MPF Adaptor enables it to work as a flexible
standalone Payroll & MPF system. It calculates the most flexible
pay rules in all organzation, and all payroll rules are users definable.
Even each payroll item, such as Overtime, Meal allowance and the like
can be defined as MPFable, TAXable or even CALCULable.
- System
Records Keeping Items.
The
system helps users to maintain necessary staff information, payroll
information, MPF contribution information, taxation history for fulfilling
the record keeping requirement of Government.
- Employee
Information and MPF Information.
User
can select to type in the employee basic information for MPF, autopay
and taxation to the system or simply import from file which is in text
or Excel format to the system. The system can even identify the new
joint staff in the following import activities to reduce record duplication
to the system. Setting of contribution options can then be set in the
system to each individual staff.
- MPF
Requirement. Calculation of relevant payment
is the requirement of the MPF Ordinance on the employer. The system
enable the user to define each of their payroll items to be "MPFable"
or "Non-MPFable" that the former item will be counted to the
total sum of the relevant payment and the later one is not counted as.
It provides a one-step payroll calculation and MPF contribution without
work on calculation before contribution calculation. The definition
shall be done before the import of payroll figures to the system.
- Calculation
of Relevant Payment and Contribution Amount (Mandatory and Voluntary
Contribution).
Then the System automatically calculates the relevant
contribution based on the system setting. The calculation of the relevant
payment and the MPF contributions in the system is in one payroll calculation
step only and is in accordance with the MPF Ordinance and regulations.
The result of payroll amount for autopay (save as electronic format)
or cheque (print as hard copy) can be selected by users depending on
the payroll practice of each individual organisation.
- Autopay.
This system can support the autopay programme of major
banks in Hong Kong, such as HSBC, Hang Seng Bank, Standard Chartered
Bank and Bank of China. If the user company select to have autopay after
contribution calculation, it simply follow the steps described in the
payroll procedure.
- Comprehensive
Reporting. More than 20 reports are available
for the users. They include MPF remittance reports, detailed payroll
reports, contribution summary (to trustee and employee respectively),
employee pay slip, taxation reports etc..
- Taxation.
Users can select to have taxation reports and soft copy
generation from the system or import the payroll result to their existing
sytem and process the taxation in their existing system. All IRD forms
for taxation (IR56B, E, F and G)are inclusive.
- Send
Payroll Slip by Email. By
adopting this optional module, system administrator may directly send
out payroll result such as pay slip to individual staff by email. It
saves your time and money in printing and distributing hard copy pay
slip. Easy to use and no extra software is required.

Features
How
It Works?
- Step 1 - Import Staff Information:
Export Staff Profile from your existing Human Resources System, such
as HKID number, Staff Name, Join Date, Date of Birth, Bank Account Number,
Autopay Indicator and etc in either MS Excel or ASCII Text format. The
MPF Adaptor will check the staff profile and will only allow new staff
to be imported.
If you don't have a Human Resource System, you may input all these information
directly from the eHR2000 MPF Adaptor. You only need to import the Staff
Information once, unless you have new joined staff.
All items imported into the MPF Adaptor are user-defined. You may define
the fields (except key fields such as HKID number, Last Name, First
Name and etc) in the MPF Adaptor by using its dynamic set-up menu, and
also determine the column order for importing. If there is any mistake
happened in the importing process, an error log file will be automatically
generated with detail reason of importing failure, so that you can make
correction on the data before it is imported to the adaptor.

- Step 2 - Edit and Update:
The InterChange MPF Adaptor not only functions as an adaptor to MPF
and other functions but also works as an individual payroll system.
The Adaptor stores all staff information which can be edited and updated
by the users at any time to cope with the Payroll and MPF requirement.
For example, if any employee whose relevant income may be below the
MPF lower limit ($4000), you may edit on his/her staff information in
the Adaptor according to his/her will of having employee MPF contribution
or not.
- Step 3 - Import Payroll Item Transactions:
When the staff information had been imported and updated for MPF and
payroll requirement, the next step is to import the payment items for
processing. As step 1, the Adaptor can accept import file of Payroll
Item Transaction with the said formats from your existing system. You
may export the payroll result either as a lump sum or break down of
payroll result into payroll item transactions such as Basic Salary,
Overtime, Meal Allowance, P-fund Deduction, Leave Deduction and etc.
Before you import the payroll transactions in breakdown format, you
must create these payroll item transactions in the MPF Adaptor. In the
Payroll Setup option of the MPF Adaptor, you may specify each Payroll
Item is MPFable, TAXable or even CALCULable. According to the said setting,
the system will calculate the Relevant Income, Taxable and Autopay amount
automatically.
Instead of importing a file from your existing system, if you do not
have existing payroll system, you may treat the MPF Adaptor as a standalone
Payroll and MPF Management System. You may input all these payroll transactions
by using the input menu of the MPF Adaptor and calculate the payroll
and MPF contribution.

- Step 4 - Outputs:
1. Reports.
All payroll results and MPF contribution reports can be printed through
the MPF Adaptor.
2. Autopay.
You may also use the MPF Adaptor to create Autopay file for Hong Kong
Bank, Hang Seng Bank, Standard Chartered Bank or Bank of China.
3. Taxation.
Taxation reports such as IR56B, IR56F, IR56E and IR56G can also be managed
by the MPF Adaptor.
4. Export Payroll Result for Your Existing System
You may also export the Payroll Results by using the smart export fiunction
of the MPF Adaptor, so that you existing system can intake the result
to update the released payroll amount. Export payroll results can either
in MS Excel or ASCII Text file format. Once again, you may select whatever
you like and also column order you prfered. An optional module
is available for sending the Payslip to employees by email. You can
save your time in printing and distributing the payslip hard copies
and it is truely paperless. The system handles MPF surcharges and will
reflects in each staff payslip.
- Step 5 - Year-end Process:
Since the Adaptor stores the payroll records of each employee, it can
also function the Taxation Management function. You can print IR56B
forms as well as the floopy disk for IRD.
